How to Connect NinjaTrader 8 to Apex (Rithmic & Tradovate)

Rithmic or Tradovate, credentials, gateway and data agreements. The exact steps plus the six errors everybody hits on day one.

Your funded account does not connect to NinjaTrader. It connects to a data and execution provider, almost always Rithmic or Tradovate, and NinjaTrader talks to that provider. Understanding this solves half your connection problems before they happen, because it tells you who to email when something breaks.

Which connection your firm gives you

When you buy an evaluation you get an email with credentials. That email is not really from the prop firm, or not only: it carries your login for the execution provider. There are three in US futures.

  • Rithmic. The most common on funded accounts. Low latency, full depth of market, and a setup with more steps than it needs.
  • Tradovate. Newer and much simpler to configure. Popular with firms that want traders live in ten minutes.
  • CQG. Less common in prop, standard on retail brokerage accounts. Solid data quality.

Some firms let you choose. Others assign one and that is that. If you get a choice and you plan to trade order flow seriously, take Rithmic. If you want a clean chart and ATM brackets, Tradovate saves you half an hour of setup.

The NinjaTrader license you actually need

This confuses a lot of people. NinjaTrader 8 downloads free from the official site. The free license lets you:

  • Watch real-time charts on your firm data feed.
  • Install and run custom indicators, including paid ones.
  • Trade live through a third-party connection like Rithmic or Tradovate.

What the free version does not include is the Order Flow + package, automated strategy execution on a live account, or advanced trade analysis. Plenty of prop firms hand out a NinjaTrader license when you buy an evaluation: check your inbox before paying, because that is a $1,099 lifetime license you may already own. Connecting through Rithmic step by step

Rithmic has a prerequisite nobody does, and it causes 80 % of first-day failures: you must accept the market data agreements before connecting from NinjaTrader.

1. Accept the agreements in R Trader

Log into the R Trader web app with the username and password they sent. You will get several exchange agreement screens (CME, CBOT, NYMEX, COMEX). Accept all of them. Skip this and NinjaTrader will connect, show your account, and leave every chart blank.

2. Create the connection in NinjaTrader

Control Center, Connections > Configure. Add a new connection and pick Rithmic from the provider list.

3. Fill the three fields that matter

  • User name and Password: from the Rithmic email, not your prop firm dashboard.
  • System or Gateway: the other classic mistake. Your firm tells you which one to use. Pick the wrong gateway and it still connects, just with odd data or no visible account.
  • Connection name: whatever you want, so you can tell accounts apart.

4. Enable historical data

In the options tab, turn on historical data downloading. Without it, every chart starts from the moment you connect and you cannot see yesterday range.

5. Connect and verify

Connections, then your connection name. The indicator in the bottom right of the Control Center should turn green. Open the Accounts tab: if your account and balance are listed, you are in.

Connecting through Tradovate step by step

Considerably shorter.

  1. Control Center, Connections > Configure, add connection, select Tradovate.
  2. Tradovate username and password (the same ones you use on their web platform).
  3. Under Environment choose Live for evaluation and funded accounts, or Demo for simulation. An evaluation account is a live account even though the money is simulated. Getting this field wrong is the number one cause of "my account is not showing".
  4. Connect and check the Accounts tab.

A note on data: Tradovate includes market data in its subscription, but the depth level depends on the plan your firm pays for. If the DOM only shows five levels, that is not a NinjaTrader problem.

The six connection errors everybody hits

1. Connects, charts are blank. Exchange agreements not accepted. Back to R Trader and accept them.

2. No accounts listed. Wrong environment (Demo instead of Live) or wrong Rithmic gateway.

3. "Login denied" with the right password. Rithmic forces a password change on first web login. If you never did it, the original password is dead.

4. Drops every few minutes. Almost always Wi-Fi. Run an ethernet cable before blaming the provider. Second most common cause: an active VPN.

5. Charts lag by several seconds. Count how many instruments you have open. Every chart eats bandwidth and CPU. Ten tick charts on an 8 GB laptop is not realistic.

If none of those fit, the Log tab in the Control Center carries the provider response verbatim. Paste that line into an email to your firm rather than describing the symptom. Support answers a log line in one reply and a description in five.

6. Instrument not found. Contract names change between providers. Check under Tools > Instruments that the expiry is the current one, not the one from three months ago. In March, June, September and December this catches everybody on rollover day.

Market data: what you pay for and what you do not

CME futures data is not free, which catches out anyone arriving from equities or crypto. Two separate charges, and they get confused constantly.

Exchange fees. CME charges a monthly fee for live quotes, priced differently for professional and non-professional users. As a retail trader you fall in the non-professional bracket, which is a few dollars per exchange rather than hundreds. Most prop firms bundle that into the monthly evaluation price. If yours does not, it shows up as a separate line item.

Depth level. Level 1 is best bid and best ask. Level 2 is the full book, ten levels a side. If you plan to read the DOM or a footprint you need Level 2, and not every firm includes it by default. Before you buy the most expensive order flow package on the market, confirm your connection will actually feed it.

One more warning: historical tick data is limited on every prop-firm connection. If you want to practice full sessions in Market Replay you will be downloading them a day at a time and leaving the machine running. That is not a fault, that is how it works.

Professional or non-professional status

Worth getting right when you sign up. The non-professional rate assumes you trade your own money, are not registered with any regulator, and do not distribute the data. Traders who run an LLC for tax purposes sometimes get reclassified as professional, which multiplies the monthly data cost. If you set up an entity, ask your provider before the first invoice arrives instead of after.

Pre-flight checks before your first order

Five minutes of checks that save you a three-figure mistake.

  1. Right account selected. With an evaluation and a funded account connected at once, the DOM account selector is one click away from ruining your day.
  2. ATM template configured. Automatic stop and target, so you are not placing them by hand while price moves. Covered in NinjaTrader ATM strategies.
  3. Default size set to 1 contract. The default is whatever you left it at yesterday. Check it every morning.
  4. Test in simulation first. NinjaTrader ships with the Sim101 account. One order there confirms execution responds before you touch the funded account.
  5. Instrument session times. The US cash session opens 9:30 a.m. Eastern. Overnight data exists but the volume does not. See futures market hours.

Connection setup is plumbing. Configure it once, verify it in five minutes, then leave it alone. Do it on a quiet evening before your evaluation starts, not on the first morning with the clock already running.
